In this two-day training you will learn everything about project portfolio management (PPM) and how to implement it pragmatically and gradually in an organization. The strategic, operational and financial aspects of PPM are covered. The training is intended for everyone who wants to improve PPM in their organization and take it to a higher level, such as portfolio managers, PMO directors, innovation and transformation managers, and everyone who uses projects to execute their business strategy: CEO, CFO, CIO or other senior management members,

Outline Training

A two-day training for portfolio managers, PMO directors, innovation and transformation managers, and anyone who uses projects to execute their business strategy: CEO, CFO, CIO or other senior management members, and who wants to learn more about the various perspectives of project portfolio management and how to pragmatically implement or optimize this process in their organization.

Participants will learn:

  • What the fundamental concepts of project portfolio management are and how it differs from project and program management;
  • How to define a portfolio taking into account the strategy of the organization and which methods exist to pragmatically approach each step in this process;
  • How to manage the execution of the portfolio on financial, operational and resource perspectives;
  • What resources are available to manage the portfolio process, how to shape the resource management process and which dashboards and reports are useful to support this;
  • What project portfolio management looks like at the various levels of maturity;
  • How to determine which maturity phase your organization is in and which step-by-step plan is required to further optimize project portfolio management;

The themes mentioned are explained by means of theory and practical examples. There is plenty of time for the participants to ask questions, to bring forward their own challenge and to work them out into an action plan for their own organisation.

Content / Program

Module 1: Project Portfolio Management Introduction

Learning objective: At the end of this introductory module, the participant will know what project portfolio management is according to the theory, how the various activities are related and what the challenges are that many organizations encounter.

The following topics are covered:

  • The difference between projects, programs and portfolios;
  • The added value of project portfolio management based on practical examples;
  • The portfolio management cycle, the steps involved and the mutual coherence;
  • The organizational implementation and impact of project portfolio management;

 

Module 2: Defining the portfolio

Learning objective: At the end of this module, the participant will know how to shape each step in the portfolio definition cycle in order to arrive at a supported project portfolio in which the participants’ own situation is actively addressed.

The following topics are covered:

  • Determining the composition of the portfolio by:
    • Understanding initiatives/projects
    • Categorising projects
    • Prioritising projects
    • Balancing projects
    • Planning projects
  • Discussing possible methods and techniques for each of the above steps
  • Using KPIs and dashboards to maintain an overview of the composition of the portfolio;
  • Translating theory into the participants’ practice: identifying gaps and offering solutions

Module 3: Monitoring the portfolio

Learning objective: At the end of this module, the participant will have a complete overview of which activities are relevant when monitoring an ongoing project portfolio, in which the experiences of the participants are put into perspective and solutions are discussed to further optimize.

The following topics are covered:

  • The different areas that are relevant for the proper monitoring of the ongoing project portfolio with attention to the financial, operational and strategic perspective
  • The impact of the status of the ongoing portfolio on determining the future portfolio and how to deal with this interaction;
  • The use of KPIs and dashboards to maintain overview and control;
  • Getting started with the participants to identify gaps in their own organisation and how to tackle those;

 

Module 4: Defining the ppm maturity and action plan

Learning objective: At the end of this module, the participant will know how to determine the maturity of an organization in the area of ​​ppm and what the steps are to take this to a higher level, whereby the theoretical knowledge is converted into how to do this in practice.

The following topics are covered:

  • The maturity model with the associated characteristics;
  • A step-by-step plan to reach a higher maturity level and the preconditions for this;
  • Translation of the own input from module 3 to the maturity model with identification of further optimization possibilities

 

Module 5: Wrap up

Learning objective: At the end of this module, we focus on the summary of the topics of the earlier modules, including the output of their own action plan to get started in their organisation.

To conclude the training, the material covered will be thoroughly summarised once again in useful take-aways that can be used in the participant’s own situation.

Participants in the training will receive the training material and all kinds of templates that were discussed during the training.
